ERP software for small and medium business: the modules you need, in phases
We build ERP-style systems that connect stock, sales, purchasing, accounting and people in one place, starting with the module that hurts most. Developer-led, with phased written quotes for the UAE, the United States and India.
ERP (enterprise resource planning) software joins your core business functions, such as inventory, sales, purchasing, accounting and HR, into one system with shared data. S R Tech Studio scopes ERP projects in phases and quotes them in writing. A first module can often begin as a custom tool from AED 2,000.
- Phased, written quotes
- Start with one module
- VAT and GST fields on request
What is ERP software?
ERP stands for enterprise resource planning. It is one system, with one database, where the main parts of a business work from the same facts: what you hold in stock, what you have sold, what you owe suppliers and what customers owe you.
Without ERP, each team keeps its own file. Sales promise stock that the store has already sold. Accounts re-type invoices. Purchasing reorders late because nobody sees the real numbers. An ERP removes the re-typing and shows everyone the same current picture.
The word ERP suggests something huge and expensive, and some products are. For a company with ten to a few hundred staff, a good ERP is a set of modules that you switch on one at a time. Read our plain-language guide, what is ERP software, for the basics.
- One record per thing: one customer, one product, one supplier, used everywhere.
- Modules that talk to each other: a sale reduces stock, raises an invoice and updates the ledger.
- Roles and approvals: each person sees and does only what their job needs.
- Reports from live data: stock value, sales by customer, payables ageing, without month-end clean-ups.

ERP modules and what each one solves
You rarely need every module. Pick the one with the biggest daily pain, make it work, then add the next.
| Module | What it does | The problem it solves |
|---|---|---|
| Inventory | Tracks stock by item, location and batch, with movements in and out and reorder alerts | Stock-outs, overstock, and counts that never match the shelf |
| Sales and quotations | Customers, price lists, quotes, orders, delivery notes and invoices | Slow, inconsistent quotes and orders retyped between files |
| Purchasing | Suppliers, purchase requests, orders, goods received and bills | Late reorders, no approval trail, unclear supplier balances |
| Accounting | Ledger, receivables, payables, tax codes, payments and standard reports | Month-end rework and invoices that do not match the books |
| HR and payroll basics | Staff records, leave, attendance and simple payroll inputs | Leave and attendance tracked in chat and paper |
| Reporting | Dashboards and exports across all modules | Decisions made on old or guessed numbers |
| Customer portal | Customers see orders, statements and invoices | Constant calls asking where an order or payment stands |
Payroll, wage-protection rules and similar regulated functions differ by country. We scope them against your accountant's requirements and current official guidance.
ERP vs CRM: what is the difference?
A CRM (customer relationship management) system manages relationships before and during a sale: leads, contacts, follow-ups and pipeline. An ERP manages what happens inside the business to deliver, pay and account for it.
| Question | CRM | ERP |
|---|---|---|
| Main focus | Leads, customers and the sales pipeline | Operations: stock, purchasing, finance, people |
| Typical users | Sales and marketing | Operations, finance, purchasing, management |
| Typical data | Contacts, calls, deals, follow-ups | Items, orders, invoices, payments, ledgers |
| Do you need both? | If you manage many leads or a long sales cycle | If you hold stock, buy, invoice and keep accounts |
| Can they be combined? | Yes, many ERPs include CRM features | Yes, by connecting them through an integration |
Our guide on CRM vs ERP covers when each one makes sense.
Custom ERP or packaged ERP?
Packaged ERP products are proven but built for many businesses, so you adapt to them. A custom ERP is built around you but needs more careful scoping. Both are valid. The honest answer depends on how standard your process is.
| Factor | Packaged ERP | Custom ERP |
|---|---|---|
| Process fit | Good for standard processes | Good for unusual or specialised processes |
| Cost pattern | Licence or per-user fees plus set-up | Build cost, then hosting and support |
| Modules | Many, some unused | Only the modules you need, added in phases |
| Customisation | Possible, sometimes costly | The point of the project |
| Risk | Staff must learn the product's way of working | Needs clear scoping and good requirements |
| Best when | Your process is similar to many others | Your process is unusual, or you want to start small and grow |
We build custom and ERP-style systems. If a packaged product would serve you better, we say so on the scoping call. See custom software development for how we work.
VAT and GST readiness in ERP software
An ERP that produces correct tax invoices is more useful than one that only stores data.
In the UAE, businesses registered for VAT usually need tax invoices that carry the right details, such as the Tax Registration Number (TRN) and the tax amount, and need clear VAT records. In India, GST invoicing involves a GSTIN and the correct tax split. In the United States, sales tax rules differ by state. We build the fields, tax codes and reports your accountant asks for, and keep rates editable because rules change.
We do not promise compliance with any tax rule or e-invoicing scheme. Check the current guidance from the relevant tax authority, such as the UAE Federal Tax Authority, and have your accountant approve the invoice format before go-live. Our custom invoicing app page shows how we handle tax-invoice layouts.
What drives ERP cost?
ERP projects vary widely, so we quote in phases and after discovery. These are the factors that move the number.
- Number of modules: each module adds screens, rules and reports.
- Number of users and roles: more roles mean more permissions to design and test.
- Branches and warehouses: multi-location stock and reporting add complexity.
- Data migration: the quality of your existing sheets decides how much clean-up is needed.
- Integrations: website, accounting tools, payment gateways, shipping and WhatsApp.
- Documents and print layouts: custom quotes, invoices, delivery notes and reports in your branding.
- Training and support: how many people need training and how long you want support.
Your quote lists these items so you can see what you are paying for and what can wait for a later phase. For the implementation side, see our ERP implementation service.
Moving from spreadsheets to ERP
Most small and medium businesses reach ERP from spreadsheets. The move goes better when you do it in a sensible order.
| Stage | What happens | Why it matters |
|---|---|---|
| 1. Map what you do | Write down how an order, a purchase and a payment really move | Software copies bad habits unless you see them first |
| 2. Clean the data | Remove duplicates and fix item names, prices and customer details | Bad data moved into a new system is still bad data |
| 3. Start with one module | Go live with inventory or sales first | A small win builds trust and shows what to change |
| 4. Run in parallel briefly | Compare the system with the old files for a short, agreed period | Catches mismatches before the sheets are retired |
| 5. Add the next module | Link purchasing, accounting or HR once the first one is stable | Each module reuses the same customers and items |

India ERPERP software questions answered
What is ERP software, in simple terms?
ERP software is a single system that runs the main parts of a business from shared data: stock, sales, purchasing, accounting and often HR. When you sell something, the stock drops, the invoice is raised and the accounts update, with no retyping. It replaces separate spreadsheets with one set of records everyone trusts.
Is ERP software suitable for small and medium businesses?
Yes, if it is right-sized. Small and medium businesses usually do not need every module of a large ERP. They need the two or three that fix daily problems, such as inventory and sales, with room to add more. That is why we start with one module and grow in phases.
How much does ERP software cost?
ERP is quoted in phases after a discovery workshop, because it depends on modules, users, branches, data migration and integrations. Smaller starting tools begin from AED 2,000 in the UAE, $550 in the US and ₹45,000 in India. Your written quote lists each phase so you can see what is included.
What is the difference between ERP and CRM?
A CRM manages leads, contacts and the sales pipeline. An ERP manages operations: stock, purchasing, invoicing, accounts and people. Some businesses need both, connected by an integration. Our guide on CRM vs ERP helps you decide which comes first.
Should I choose a custom ERP or a packaged one?
Choose packaged if your process is standard and you are happy to adapt to the product. Choose custom if your process is unusual, you want to start with one module, or per-user licence fees would grow too fast. We build custom and ERP-style systems and will say so if a packaged product suits you better.
Can the ERP handle UAE VAT or Indian GST?
We can build tax fields, tax codes, invoice layouts and reports for UAE VAT, Indian GST or US sales tax as your accountant requires. Rules change, so rates stay editable, and we do not promise compliance. Check current official guidance and have your accountant approve the formats.
Which module should we start with?
Start with the one that causes the most daily pain. For traders and distributors that is often inventory or sales and quotations. For service firms it may be job tracking and invoicing. We confirm this in discovery. See our quotation app page for one common starting point.
Can you move our data from spreadsheets or an old system?
Yes. We review the data, agree how it will be cleaned and mapped, import it, and check totals against the original before go-live. The cleaner the sheets, the smoother the move. Details of the process are on our ERP implementation page.
Can the ERP connect to our website, accounting tool or WhatsApp?
Usually, if the other tool offers an API or export. We list each integration in the quote and tell you early if a tool limits access or charges for it. Orders from your website or documents shared on WhatsApp are common examples.
Do you work with companies in the UAE, the US and India?
Yes. We work remotely and schedule calls at times that suit you. See our pages for the UAE, United States and India, or the pricing page for starting prices.
